Some facts about ourselves are difficult or impossible to change, but your email address doesn’t have to be one of them. Switching to a custom email address might seem overwhelming, and it will take some time, but it’s not that hard or expensive (and we’re always happy to help if you get stuck).
Why Consider Switching to a Custom Address?
Why would you want to take on such a task? Independence. If you’re using the email address that came from your Internet service provider, you could end up in an awkward situation if you have to move and switch ISPs. Any address that ends in @comcast.net, @anything.rr.com, @verizon.net, @earthlink.net, or the like could be problematic. You also don’t want to rely entirely on a work email address—there’s no guarantee that your employer will forward email for you indefinitely if you take a different job.
Also, an email address says something about you, much as a postal address does—there’s a difference between an address on Central Park versus one in the Bronx. If you’re not happy with what your email address implies, you might want to switch.
What can an email address reveal? Those with a free Juno, Hotmail, or Yahoo account likely signed up years ago and don’t take email very seriously. People who use an @icloud.com, @me.com, or @mac.com address are clearly Apple users, and those with an address ending in @live.com, @msn.com, or @outlook.com are probably Windows users. .edu addresses identify students, teachers, and school employees—but if you’re not one anymore, your email looks like you’re wearing a varsity jacket in your 40s. The big kahuna of email is Gmail, which boasts about 1.5 billion users worldwide now—as a result, using a Gmail address is fairly generic.
The ultimate in independence comes when you register your own domain name, which usually costs less than $20 per year at sites like 1&1 Ionos, Domain.com, easyDNS, Directnic, and Register.com. Then your address can be anything you want at your new custom domain, and you never again have to worry about being tied to your ISP or associated with a free email host.
How to Change to a Custom Address
Step 1: Register a new domain name. The hard part here is thinking of a name that hasn’t already been taken. It’s best to stick with the traditional top-level domains like .com, .net, and .org—if you get into the new ones like .beer (yes, that’s available), your email is a bit more likely to be marked as spam. Most domain registrars will also host your email for you, and if you go this route, you can skip Step 2.
Step 2: If you’re already using Gmail or another independent email provider that isn’t tied to your ISP, log in to your account at your domain registrar and configure it to forward all email to your existing email address. In this case, you can skip Steps 3 and 4.
However, if you aren’t happy with your current email provider, you’ll need to set up an account with a new one. There are lots, but many people use a paid email provider like FastMail or easyMail that usually charges less than $50 per year and supports multiple mailboxes. When you set up the account, you’ll need to create one or more new email addresses at the provider and configure MX (mail exchange) records with your domain registrar—the service will provide instructions for this.
Step 3: If you’re changing email providers as part of this process, you’ll need to configure Mail—or whatever email client you’re using—to connect to your new email account with the login credentials you set up. That’s not hard, but being able to send email that comes from your custom address can require some effort with the free email providers. Gmail provides instructions, and others that support this feature will as well. Unfortunately, iCloud won’t let you send email using a custom address.
Step 4: If you’re moving to a new email provider, you’ll need to forward your mail from your old provider to your new custom address. Most email providers and ISPs have a screen somewhere in the account settings of their Web sites that lets you enter a forwarding address.
Step 5: Tell your family, friends, and colleagues about your new email address, and update mailing lists and accounts at sites like Amazon that send you email. The forwarding you set up in the previous step will ensure you don’t miss anything during the transition, but remember that if you cancel your old ISP account, that forwarding may end immediately, so it’s important to start the process well in advance.

Need to check something in another email message while composing a message in Mail on an iPhone? Many people don’t realize that you can swipe down on the top of the draft to dock it at the bottom of the screen, look something up in another message, and then expand the draft again by tapping it at the bottom of the screen.
It’s helpful to unplug occasionally and ignore email while on vacation or otherwise away from your work routine. And it’s a good idea to set up a vacation auto-responder to tell correspondents what to do in your absence. It might be tempting to create such an auto-reply with a rule in Mail on the Mac, but resist the temptation! It’s way too easy to end up sending replies to every message from a mailing list or to addresses that will themselves reply back, causing a mail loop where each message generates another reply, ad infinitum. Instead, always set up such auto-responders in the server settings for your email provider, which are better about avoiding mail loops. Here are instructions for Gmail, iCloud, Outlook.com, Spectrum, Xfinity/Comcast, and Yahoo. If you use a different email provider, the instructions will likely be similar; check with your provider for details.
In macOS 10.14 Mojave, Apple exposed a feature of Mail that was useful, but hard to find and use. For several versions of Mail, you’ve been able to select a message and choose Message > Move To Predicted Mailbox to file the email in the suggested mailbox. (If the Move To command is disabled, Mail hasn’t yet learned how to move messages like the selected one. Once it sees you move messages from your mother into your Family mailbox, for instance, it will suggest that destination in the future.) In Mojave’s Mail, there’s also now a Move To toolbar button. If it can predict where the message will go, just click it; if not, click and hold to bring up a menu of all your mailboxes.
The feature Apple is promoting most heavily with macOS 10.14 Mojave is Dark mode, which the company advertises as “a dramatic new look that helps you focus on your work… as toolbars and menus recede into the background.” Let’s look at what Apple has done with Dark mode, after which you’ll have a better idea of what to think about while trying it.
Enable Dark Mode
First, to turn Dark mode on, go to System Preferences > General and click the Dark thumbnail to the right of Appearance. Mojave immediately switches to Dark mode, turning light backgrounds dark and swapping the text color from dark to light.
While you’re in System Preferences, click over to the Desktop & Screen Saver preference pane. If you scroll down in the Desktop Pictures list, you’ll discover a bunch of new wallpapers that blend well with Dark mode.
Dark Mode Support and Controls
You’ll notice that the color change takes place instantly not just in the Finder, but also in any apps that support Dark mode. Most of Apple’s apps support Dark mode and third-party developers are rapidly adding support to their apps as well. However, Dark mode requires explicit support from apps, so older apps that aren’t being updated will maintain their standard dark-on-light color schemes.
Some apps, such as Maps and Mail, give you additional options that change just how dark they get. In Maps, choose View > Use Dark Map to toggle between a dark map style and the familiar map style that mimics a paper map. Similarly, in Mail, go to Mail > Preferences > Viewing and deselect “Use dark backgrounds for messages” to return to a white background.
If you generally like Dark mode but have trouble reading light text on a dark background due to the reduced contrast, you may be able to choose a different font or style in the app’s preferences that makes the text more readable. Apps like Mail give you a fair amount of that sort of control.
For even more control over contrast, open System Preferences > Accessibility > Display. There you’ll find a Display Contrast slider that lets you make text lighter and backgrounds darker. You can also select Reduce Transparency to make it so items like the Dock and menu bar are solid colors, rather than allowing the background to bleed through. To separate dark and light further, select Increase Contrast, which increases the brightness of divider lines as well.
The Dark Side of Dark Mode
Contrast is necessary for pulling out fine details, but too much contrast can be uncomfortable or even painful—think about how you feel when someone turns on a bright light in a previously dark room. For visual comfort, it’s usually best to match your screen with the lighting of your surroundings. That’s why people who often work at night or with the window blinds down like dark modes—a bright screen seems brighter in a dimly lit room. That’s the theory behind the traditional dark text on a light background too, since the room will be quite light during the day.
So Dark mode can run into two problems. First is that using it during the day or in a brightly lit room may create an uncomfortable contrast between the screen and its surroundings. Controlling your room lighting can eliminate this as an issue. Second and more troubling, even apps that support Dark mode may have large content areas that are bright white, creating a strong contrast between the content area and the rest of the app. Many Web sites in Safari have this effect, as do documents in apps like Pages and Numbers. There’s no way around this scenario.
Even if Dark mode isn’t perfect, it’s worth a try if you have trouble looking at bright screens. Regardless, if it goes too far for you, one of the new dark wallpapers may be easier on your eyes. While most people aren’t overly light sensitive, a non-trivial percentage of the population is, particularly those who suffer from migraines or who have endured concussions, and those with a variety of ocular conditions. And if you’re on the other end of the spectrum—if Dark mode looks dirty and is hard to read, just stick with the traditional Light mode.
When you use Apple’s Mail app on your iPhone to send email, the default signature is “Sent from my iPhone.” If you’d rather not advertise that fact with every email, or would prefer to change it to something more personal, don’t bother poking around in the Mail app itself. Instead, go to Settings > Mail > Signature, where you can change the signature to anything you like or delete it entirely. If you have multiple email accounts configured, such as one for work and one for home, you can also set a different signature for each.
